At Brasil Coral, we believe a wonderful experience should also be clearly explained.
That is why this section brings together the general terms of participation in a simple, friendly way.
These terms help every choir, conductor, choir member and accompanying guest understand in advance how the event is organised, what the package includes, what each party is responsible for and how we look after one another so that everyone can enjoy a well-organised, safe experience.
Participation in Brasil Coral implies acceptance of these general terms, without prejudice to the details set out in any specific proposal, annex, voucher or contract for each group.

1. About Brasil Coral
Brasil Coral is a music and travel experience designed for choirs, vocal groups and their accompanying guests. It combines musical participation, accommodation, time together as a group, transport according to the package booked and overall event coordination.
Depending on the edition and package chosen, the experience may include concerts, workshops, joint rehearsals, leisure activities, accommodation, meals, support during the stay, long-distance transport and/or local transport related to the festival.
Some activities, excursions or services may be optional or depend on the package booked by each group.
2. Group bookings
Arrangements for Brasil Coral are made with the choir’s conductor or the person appointed by the group. This person acts as the main point of contact between the organisers and the group.
This means that much of the practical, financial and documentation-related information is shared through that person, who also undertakes to communicate it accurately to choir members and accompanying guests.
3. Registration and confirmation of places
Registration for each group or participant is subject to availability and is considered confirmed once the required deposit or reservation payment has been made, according to the current proposal for that edition.
The reservation secures a place within the available capacity, but final participation remains subject to meeting the payment schedule communicated for each booking.
4. Prices, payments and currency
Each edition of Brasil Coral may have its own prices, payment arrangements and commercial terms. Final amounts, due dates, deposits, discounts and payment methods are therefore specified in each individual proposal and/or the relevant contract.
Where payment in Argentine pesos is available, conversion will follow the exchange-rate method communicated at the time of booking.
To take part in the event, the trip must be paid in full within the deadlines stated in the applicable proposal or contract.
5. Complimentary participation for the conductor
At Brasil Coral, once a group has at least 20 paying participants, the conductor’s participation is complimentary.
This benefit is based on the final number of confirmed participants and may be subject to meeting the registration, payment and final participant-list deadlines for the relevant edition.
6. What the experience may include
Depending on the package chosen, the Brasil Coral experience may include:
- accommodation during the stay;
- meals according to the specific booking;
- participation in concerts, rehearsals, workshops and musical activities;
- overall coordination and organisational support;
- return transport and/or local transport related to the event;
- medical assistance or associated coverage, where expressly included;
- an artistic and leisure programme for the festival.
The definitive list of included services will always be the one set out in the current proposal, voucher, annex or relevant contract.
7. Services not included
Unless expressly stated otherwise, the following are not included:
- optional excursions or outings;
- drinks and additional purchases;
- personal expenses;
- tips;
- minibar items or additional services at the accommodation;
- fees, taxes or charges not expressly included;
- costs arising from incomplete documentation, refusal of entry by immigration authorities, health restrictions or a traveller’s personal circumstances.
8. Itinerary and operational changes
The published festival itinerary is a guide. Activities, times, venues, soundchecks, transport and other operational details may be adjusted for reasons related to organisation, logistics, weather, availability, safety, technical scheduling, instructions from authorities or force majeure.
Wherever possible, these changes will aim to maintain the overall quality of the experience and fulfil the artistic and travel programme offered.
More detailed schedules will be shared in due course through the event’s official channels. Certain operational times may be confirmed closer to departure or to the provision of the service.
9. Arrival times and punctuality
For each departure, boarding or activity that requires it, participants must arrive with the advance notice specified by the organisers.
As a general guideline, we recommend arriving at least 30 minutes before the stated time.
Initial times may be estimates and may change for operational reasons. Final times will be communicated through the voucher, an official message or the choir’s conductor.
10. Accommodation and getting along as a group
Brasil Coral is a group experience. Alongside enjoying ourselves, it is important to be considerate of one another.
Each participant undertakes to respect schedules, rehearsals, soundchecks, concerts, transport arrangements, accommodation rules and basic standards of conduct towards their group, other choirs, the organising team and third-party service providers.
Serious misconduct, aggression, discrimination, violence or behaviour that seriously disrupts the experience may result in exclusion from the event, accommodation or particular activities, without a refund and with possible charges for damage where applicable.
11. Travel documents
Each traveller is responsible for having the necessary valid travel documents.
For domestic or international travel, participants must present the documents required by the relevant authorities, in good condition and in physical form where required. Digital documents alone do not necessarily replace the physical documents required for boarding or immigration checks.
We recommend checking the following in advance:
- a valid physical Argentine national identity document (DNI) or a valid passport;
- that the document is the currently valid issued version;
- any additional documents required for minors;
- any authorisations, permits, visas or specific requirements that may apply.
Failure to provide valid documents may prevent boarding or departure from the country, without liability for the organisers.
12. Participants under 18
When participants under 18 travel, all documents required by current regulations and by immigration or transport authorities must be presented.
Depending on the circumstances, this may include documents proving the family relationship, travel authorisations and other specific requirements.
Responsibility for obtaining and correctly presenting these documents lies with the traveller, their family and/or their legal guardian, as applicable.
13. Luggage
Each traveller may bring the luggage permitted under the transport arrangements booked and the operational conditions communicated for the trip.
As a general guide, the standard allowance usually includes one medium-sized suitcase weighing up to 15 kg for the luggage hold and one hand luggage bag for the passenger cabin, unless different arrangements are communicated in advance.
Any excess luggage, special luggage or additional checked items will be entirely at the traveller’s expense.
Items such as beach chairs, beach umbrellas, coolers or similar objects are not considered standard luggage. Their transport may depend on the space actually available.
Each traveller is responsible for their luggage, belongings and personal items throughout the journey and stay.
14. Cancellations, replacements and participant changes
If a registered participant is unable to travel, a replacement may be considered, provided the deadlines, operational conditions and service providers involved allow it.
Name changes, reissued documents or other amendments may incur additional costs, which will be communicated in each case.
In the event of cancellation, amounts already paid may have been committed to reservations, bookings and obligations to third parties. Any possible refund will therefore depend on the amounts that can actually be recovered, after deducting administrative fees, bank charges and/or applicable penalties.
15. Responsibility of the organisers
Brasil Coral coordinates, manages and organises the overall event experience, but many services are provided by third parties, such as transport companies, accommodation providers, operators, cultural venues, medical service providers or regulatory authorities.
The organisers will therefore not be liable for events, decisions, restrictions, delays, cancellations or circumstances attributable to third parties or causes beyond their control, without prejudice to their duties of management, support and overall coordination.
16. Use of images
Photographs, videos and other audiovisual materials may be recorded during the event for publicity, archives, institutional communications and the promotion of future editions of Brasil Coral.
Participation in the event implies permission for this reasonable use, provided it remains respectful, non-harmful and connected to the festival’s activities.
17. Personal data and communications
Personal data shared for registration and travel arrangements will be used exclusively for purposes related to participation in Brasil Coral: preparing participant lists, bookings, coordination, practical communications, insurance and other event-related arrangements.
Official communications may be sent by email, WhatsApp or other channels specified by the organisers or the choir’s conductor.
18. Information for the group
The organisers formally communicate the main travel information to the group’s representative, conductor or appointed person in charge.
That person, in turn, undertakes to pass on all relevant information clearly and fully to choir members and accompanying guests: participation terms, payments, documents, schedules, luggage, operational changes and any other details needed for a well-organised trip.
19. Applicable regulations
These terms are interpreted in accordance with the applicable regulations of the Argentine Republic and the operational rules of the travel, transport, accommodation and event services involved in each edition.
20. Status of this information
This section is for information purposes and aims to explain clearly and accessibly how Brasil Coral works.
If there is any difference between this page and a specific proposal, voucher, annex or signed contract, the specific contractual documentation for the relevant group or edition will always take precedence.
